Privacy Policy.

How we collect, use, and protect your information at Club X Indoor Golf. We comply with Canada's PIPEDA and Ontario's privacy laws. Plain-English version below; the full legal text follows.

Plain-English summary

We collect only what we need to take your booking, run your lesson, send the receipt, and follow up.
We never sell your data. Period.
We share data only with the platforms we use to run the business — Stripe (payments), Alba Play (bookings), GoHighLevel (CRM), Meta + Google (ad measurement, hashed where the platform supports it).
You can ask us at any time what we have on you, correct it, or delete it. Email hello@clubxindoorgolf.com.

What we collect

Contact information you provide (name, email, phone, address). Payment information (processed by Stripe — we never see your card number). Booking details (which bay, when, for how long). Lesson outcomes (TrackMan data we capture during instruction, retained for your follow-up). Marketing engagement (which emails you open, which ads you clicked) where you've consented.

How we use it

To fulfill your booking or lesson. To respond to your inquiries. To send transactional emails (receipts, booking confirmations, lesson follow-ups). To send marketing communications only where you've opted in — and to honour unsubscribe requests immediately. To run targeted advertising via Meta and Google, using hashed identifiers and Conversions API where the platform supports server-side measurement.

Cookies & tracking

We use Google Tag Manager (container GTM-TK6Q3G5T) to load the Meta Pixel for advertising measurement. The Meta Conversions API runs server-side via Make.com. You can opt out of cookie-based tracking through your browser settings; certain site features may degrade if you do.

Sharing & third parties

We share information only with operational vendors — Stripe (payment processing), Alba Play (booking), GoHighLevel (CRM/automations), Meta and Google (advertising), Make.com (data routing). All of these are bound by their own privacy commitments. We never sell or rent your information for any purpose.

Your rights

Under PIPEDA, you have the right to know what personal information we hold about you, to correct inaccuracies, to request deletion (subject to legal retention requirements such as transaction records), and to withdraw consent for marketing communications at any time. Contact hello@clubxindoorgolf.com with your request and we will respond within 30 days.

Retention

Booking and transaction records are retained for seven years to comply with Canadian tax and accounting law. Marketing data is retained until you withdraw consent. TrackMan lesson data is retained for the duration of your engagement plus 24 months unless you ask us to delete it sooner.

Children

We do not knowingly collect information from children under 13. Children under 18 may visit and play with a parent or guardian; we collect only the information necessary for booking (typically through the parent).
